Managing client documents
With Docutiva, each client receives their own workspace in which to store account documentation such as company registration documents, reports, financials and tax returns. Clients appreciate having their documents available on-demand and not having a time delay in having to contact an account manager whenever a document is required. The added security and ability to collaborate with the workspace team through a single system adds value to your service and gives clients a central point of contact with your staff.
Instant multi-uploads
Instead of emailing each client a personalised document, or uploading each document to a different online folder separately, Docutiva's built-in batch uploader lets you upload a single ZIP archive containing all your client documents in one upload. Docutiva will identify where a file belongs and upload it to the correct client workspace using an intelligent file naming convention. After uploading the files into their respective workspaces, the system will send your clients an email to let them know new documents have been added to their account.

Seamless task management
Using task tickets, you can request information from your clients, or they can ask an account manager to help them. By working in this way, your team can focus on their workload and schedule their time better with fewer interruptions.
Task tickets provide an audit trail of client communication, allowing you to view past conversations and requests within a workspace and to reference disputes.
If a member of your team is away on holiday, tasks can be re-assigned to someone else, allowing them to pick up client requests and respond immediately.
Secure communication
Transmitting sensitive data via email is not secure and risks having data seen by prying eyes. Docutiva uses 128-bit SSL encryption to make sure data is tranmitted securely. Data is housed in a secure Microsoft SQL database, behind hardware and software firewalls, and off-site backups are run every 24 hours to ensure your data is safe and secure.
