Can I create batches of workspaces easily?

Using our batch routines, you can create and upload a spreadsheet containing all the workspace and account details you would like created in a single process.

How do I know when something requires my attention?

You should receive an email whenever there is something that requires your attention. The email will detail what has been added and provide a link to the relevant item.

What types of users are there and how do they differ?

Docutiva has 3 levels of users ie. administrators, managers and workers. Administrators have total control over the system and all workspaces and can change system-wide settings. Managers have control over specific workspaces and can change settings relating to the workspaces they have access to. Workers are participants in a workspace and cannot change admin settings within the workspace.

Does the system email the client after an upload is complete?

When completing a batch upload to multiple accounts, workspace users will receive an automated email letting them know a new document has been uploaded to their workspace. When doing a single manual upload, you have the choice of selecting whether to send an email to the workspace user or not.

Can users share accounts and login details?

No. This is a security breach and makes security very difficult to manage from the company perspective. We recommend that you take logins and security very seriously and scrutinise who in your organisation has access to administrator accounts and passwords.

Can clients see other client’s information across workspaces?

No. Each user has specific permissions that are defined according to which account, company and workspace they are associated to. A user can only view or download data from a workspace they have access to.

Can a client participate in more than one account or workspace?

Yes. A user or client can participate in multiple workspaces, either under the same account/company or across multiple accounts/companies.

How many workspaces can be created for each client?

The Docutiva system is built for flexibility. Though most clients typically manage one workspace, you can create multiple workspaces for a single client if required. This can be used to manage separate projects or companies.

How many accounts and workspaces can Docutiva support?

Docutiva is an enterprise application built to scale and can support millions of users. You are not limited in how many users, accounts or workspaces you can manage.
