How many admin users can we have?

There is no limitation on the number of admin users you can have. We suggest keeping strict control over your admin logins though and making sure these are updated whenever someone leaves the company or should no longer have access to the system.

What types of users are there and how do they differ?

Docutiva has 3 levels of users ie. administrators, managers and workers. Administrators have total control over the system and all workspaces and can change system-wide settings. Managers have control over specific workspaces and can change settings relating to the workspaces they have access to. Workers are participants in a workspace and cannot change admin settings within the workspace.

Can I access a file if I know the URL?

Only if you are logged into the system and have access to the document you are attempting to download. The system authenticates every request to make sure your account has the correct permission to access it.

What types of files can and can’t be uploaded?

The only limitations to file uploads are those that present security threats, such as executable application files, etc.

Are the Docutiva servers protected by firewalls?

Yes. Amazon EC2 provides a complete firewall solution, configured in a default deny mode for inbound traffic. Traffic is restricted by protocol, by service port, as well as by source IP address (individual IP or Classless Inter-Domain Routing (CIDR) block). The firewall is configured in groups permitting different classes of instances to have different rules, enabling tighter security in a typical three-tiered application such as Docutiva. The firewall infrastructure supports the ability to grant granular access to different administrative functions on the instances and the firewall, therefore enabling additional security through separation of duties.

How often are backups done and where are these stored?

Docutiva takes data backups very seriously and makes both on-site and off-site backups of its databases and client data every 24 hours. In the event of a total disaster, Docutiva could be restored to within 24 hours of the disaster occuring. Our databases and file system are backed up to 2 servers, one within Amazon EC2, and another in the Amazon S3 storage service. We can also configure additional off-site backups for large enterprise clients on request.

Where is Docutiva hosted and why?

Docutiva is hosted in the Amazon Elastic Compute Cloud (Amazon EC2) which offers the benefits of using the same reliability and security standards you expect from Amazon.com, along with the infrastructure to scale our capacity on demand, within minutes of our requirements changing.

Who provides and authenticates the Docutiva SSL certificate?

Docutiva is secured via 128-bit SSL by GoDaddy.com Inc.

Is Docutiva secure?

Yes. Docutiva is hosted in the Amazon Elastic Compute Cloud (Amazon EC2) which offers the benefits of using the same reliability and security standards you expect from Amazon.com, along with the infrastructure to scale on demand. Docutiva is secured with hardware and software firewalls and and industry standard enterprise security is implemented using ASP.NET and Microsoft SQL Server. Files are protected via URL authentication, ensuring unauthorised users cannot access files they are not permitted to, whether via a URL or from within the system. Data is transmitted over 128-bit SSL.

Can we host Docutiva on our own domain?

Yes. You can select to either host Docutiva on your own domain, or you can host it on a sub-domain of the Docutiva domain. The choice is yours and in both scenarios the system will be secured via SSL.
